Handling lack of space issue in Outlook
Recently, I was facing a problem with Outlook that my Inbox was almost 90% full and I was getting alerts daily from Outlook to delete my mails so that Outlook can work fine. I deleted as many junk mails as possible but still found my Inbox to be heavy. I could not delete the other mails as they were important to me, luckily one friend of mine told me about the archiving option present in Outlook using which we can avoid these alerts. The main purpose of archiving is to place our mails in some other place rather than the default place of Outlook memory.
So, here are the steps mentioned below on how to do this.
1. Go to Tools -> Options in menu bar of Outlook

2. Click Data Files button

3. Click Add button and select your preferred type of storage in "New Outlook Data File" dialog box

4. A dialog box appears for creating a new data file or opening an existing one in its default path.

5. Saving it with the name "Test" in this example

6. Dialog box appears for user to implement security feature on his archived mails. Here, we can insert the name of our desired folder in Name textbox.

7. New folder name gets shown in "Data Files" tab of Account Settings window and your own personal folder is created where you can keep mails which you no longer need to delete due to space unavailability in Outlook.

8. Now, I can create new sub-folders in this Personalized folder of mine so that I can store my mails in an organized way. For example, I can create folders according to the types of mails I receive. Later, we can create a rule so that as soon as the mail comes in the Inbox it is immediately delivered to my intended folder. For this what we have to do is just right-click on the type of mail we need to transfer to the folder. Then click on "Create Rule" and select the appropriate criteria which suits your preference in the "Create Rule" dialog box

Select the name of the newly created folder "Test" in our case in "Move item to folder" by clicking "Select Folder" button. Click OK and its done
--------Hope deleting mails is not required anymore now. Cheers !!!
